Terms of Service

Effective date: August 3, 2026

These Terms of Service ("Terms") govern access to and use of Vortexia. "Vortexia" means the platform and the Vortexia platform operator identified in the applicable order form or service agreement.

By creating an account, accepting an order form or using the service, the customer and its authorized users agree to these Terms. If a separate signed agreement conflicts with these Terms, the signed agreement controls for that customer.

1. Business service and authority

Vortexia provides tools for authorized social-media, messaging and email account management, unified conversations, contact routing and optional AI-assisted communications. The service is intended for business use.

A user connecting an external account represents that the user owns it or has permission from the account owner and the relevant workspace to authorize Vortexia. The user must provide accurate account information and keep administrator access secure.

2. Third-party platforms

Connected channels remain governed by their provider's terms, developer policies, messaging rules, fees, limitations and privacy requirements. The customer is responsible for maintaining any required business verification, subscriptions, permissions, templates and user consent.

Vortexia does not control a provider's API, review process, service availability, account restrictions or policy changes. A provider may revoke access or change features at any time, and Vortexia may need to modify or suspend an affected connector.

3. Acceptable use

  • Use only accounts, Pages, bots, phone numbers and mailboxes that the customer is authorized to manage.
  • Send messages only where there is a valid legal basis, required opt-in and permission under the connected platform's rules.
  • Do not send spam, deceptive solicitations, unlawful content, malware, harassment or messages that violate another person's rights.
  • Do not evade platform restrictions, impersonate another person, conceal required bot or commercial disclosures, or attempt unauthorized access.
  • Apply reasonable human oversight to campaigns, contact lists, automation rules and high-impact communications.

4. AI-assisted communications

AI features may classify contacts, summarize context, generate drafts or send responses when the customer enables that behavior. AI output can be incomplete, inaccurate or inappropriate for a particular situation. The customer remains responsible for its instructions, configuration, supervision, messages and decisions.

The customer must not rely on AI output as professional legal, medical, financial or other regulated advice without qualified review.

5. Customer data and privacy

The customer retains its rights in content and data it submits or connects. The customer authorizes Vortexia to process that data as needed to provide, secure and support the service. The customer is responsible for notices, consents, retention instructions and lawful handling of its contacts' information.

Our processing practices are described in the Privacy Policy. Disconnecting a channel clears its stored credentials and stops future channel processing, but does not automatically delete conversation history already stored in Vortexia. 6. Account security and service changes

The customer must restrict access to authorized users, protect authentication methods and notify us promptly of suspected compromise. We may apply reasonable limits, maintenance or security controls to protect the platform and connected providers.

We may add, change or discontinue features. Where reasonably practical, we will provide notice of material changes that adversely affect a paid service.

7. Fees

Fees, billing periods, taxes, usage charges and cancellation terms are set out in the applicable plan, quote, order form or partner agreement. Third-party platform charges are separate unless the commercial agreement expressly states otherwise.

8. Suspension and termination

We may suspend access when reasonably necessary to address a security risk, non-payment, unlawful activity, material breach or a connected platform's requirement. A customer may stop using a connector at any time by disconnecting it and may request account or data deletion using the published instructions.

Provisions that by their nature should survive termination—including payment obligations, confidentiality, ownership, disclaimers, liability limits and lawful retention—will survive.

9. Ownership

Vortexia and its licensors retain rights in the platform, software, interfaces, documentation and branding. Except for the limited right to use the service during the applicable subscription, no intellectual-property rights are transferred to the customer.

10. Disclaimers and liability

To the maximum extent permitted by law, the service is provided on an "as available" basis. We do not guarantee uninterrupted access, delivery of every third-party message, a particular business result or continued availability of any provider API.

Any warranty exclusions, indemnities and limits of liability in a customer's signed agreement or order form apply. Where there is no separate signed provision, liability is limited only to the extent permitted by applicable law; mandatory consumer or statutory rights are not excluded.

11. Governing terms, changes and contact

The governing law and dispute process, where applicable, are stated in the customer's order form or service agreement; mandatory local law continues to apply. We may update these Terms and will identify the current version by its effective date. Questions may be sent to [email protected] or through the support channel inside Vortexia.
